Setting Printer Permissions
Just as you can with your shared folders, you can set permissions on your shared printer for individual users and groups. The permissions that you can assign over a printer, and the powers they confer, include the following:
- Manage Printers Allows a user to manage a printer's print queue; that is, to pause, resume, or delete any print job in the print queue, and to re-order or re-schedule the print jobs in the print queue. Can print to printer and change printer properties.
- Print Allows a user to send print jobs to a printer and to pause, resume, and delete his/her own print jobs in the print queue.
- Manage Documents A user can pause, resume, and restart and cancel documents sent by other users. Users cannot send documents to the printer or control the status of the printer.
When you first create a new printer definition, the system sets default permissions for it, as follows:
- Administrators: Print, Manage Printers, Manage Documents
- Power Users: Print, Manage Printers, Manage Documents
- Everyone: Print
- CREATOR OWNER: Manage Documents
Administrators and Power Users are system-created groups that automatically include the user called Administrator and any other users who you may add. Everyone is the system-defined group that automatically includes all users who can access your computer. CREATOR OWNER is a system-defined group that includes only one person—the creator of the printer definition or the person who has since taken ownership of the printer definition.
Thus, the default permissions for a newly shared printer are that everyone can print to it and a few people can control its print queue. You can change or assign printer permissions as follows:
- Open the printer's Properties dialog box. Either right-click the printer's icon; then choose Properties. Or, from the printer's open window, choose Printer from the menu; then choose Properties. Then click the Security tab to reveal the Security panel, as shown in Figure 16.8.

- You can change the permission of a listed user or group. You can remove a user or group from the list. You can add a user or group to the list and assign a permission to the added user or group.
- Change a listed user's or group's permission by selecting the user or group in the Name list; then choosing one of the permissions in the Permissions field.
- Remove a listed user or group from theName list by selecting the user or group; then clicking Remove.
- Add a user or group to the Name list by clicking Add. This opens the Select Users, Computers, or Groups dialog box that we saw earlier in this lesson. Initially, this dialog box shows only groups in the Names list. Click Show Users to add users to the Names list.
- Select a user or group in the Names list; then click Add. The user will appear in the Add Names list. Use the Shift and Ctrl keys to select multiple users or groups in the Names list; then click Add to add all the selected names at once to the Add Names list.
- Choose a permission in the Permissions field. Click OK to close the Add Users, Computers, or Groups dialog box, and click OK again to close the Printer Permissions dialog box.
In this lesson, you learned about passwords and how to set them. You also learned how to share your folders, files, and printers with others and to disable sharing. In the next lesson, you will learn how to use Internet Explorer 5.
